Workplace Specialist

What you'll do

• Conduct daily facilities checks to ensure the office meets high standards for cleanliness, appearance, and functionality.
• Serve as the front desk point of contact for guests, employees, and general workplace inquiries.
• Manage physical logistics for employee onboarding, internal moves, and offboarding processes.
• Organize and execute onsite events including all-hands meetings, team-building activities, and catering coordination.
• Oversee vendor relationships, manage snack budgets, and supervise external contractors to ensure work is completed on time.
• Maintain the office knowledge base in AI tools like ChatGPT or Codex to streamline internal communications.
• Act as a member of the emergency response team by assisting with safety training and incident response.

What we're looking for

• Experience owning a physical space or service operation where standards were visible daily.
• A hospitality mindset with a genuine care for the experience of others.
• Strong organizational instincts, attention to detail, and a preference for systems and checklists.
• Ability to prioritize and execute quickly across multiple workstreams.
• Clear verbal and written communication skills for interacting with vendors, employees, and executives.
• Comfort with ambiguity and shifting priorities in a dynamic environment.
• Proficiency with AI tools (ChatGPT or Codex), Google Workspace, and Linear or similar project management tools.
• CPR certification (preferred).
