As a Mailroom Specialist within the Real Estate & Facilities division, you will serve as a central point of contact for daily logistics on a fast-growing campus. You will manage the intake of non-production mail and freight from carriers like USPS, FedEx, UPS, and DHL, ensuring all items are accurately logged, sorted, and distributed to various departments. Your role involves managing outbound shipping with proper packing and customs documentation, maintaining inventory levels for supplies, and communicating delivery statuses via Slack or Jira. To succeed, you must possess strong data entry skills and proficiency in Oracle, FedEx Ship Manager, and UPS WorldShip. The role requires high attention to detail, excellent customer service, and the ability to handle sensitive documents while ensuring operational efficiency across multiple buildings and various organizational levels.
Receive, inspect, log, and sort all incoming mail, parcels, and freight from various carriers.
Deliver packages and office supplies to specific departments and individuals across multiple buildings.
Manage outbound shipments by packing, labeling, weighing, and completing necessary customs documentation.
Maintain a stocked and organized mailroom by tracking inventory levels and proactively reordering materials.
Notify recipients of high-priority or time-sensitive deliveries via Slack, email, or ticketing systems.
Partner with security teams to maintain secure handling protocols for sensitive and confidential documents.
Troubleshoot issues regarding unidentified shipments or packages with insufficient labeling information.
What we're looking for
Must have 2–3+ years of experience in shipping & receiving, mailroom operations, corporate facilities, warehouse logistics, or a manufacturing/R&D environment.
Must possess working knowledge of carrier shipping platforms such as FedEx Ship Manager, UPS WorldShip, and DHL.
Must be proficient with inventory/ERP management systems like Oracle.
Must have experience using Slack, JIRA, and general computer or tablet hardware.
Must demonstrate strong data entry skills with high attention to detail when logging and tracking inventory.
A current forklift certification is strongly preferred, though the company will provide training if needed.
Must possess excellent written and verbal English communication skills and a service-oriented mindset.
Must demonstrate high integrity and discretion when handling sensitive or confidential documents.
